Yammer allows for many different file types to be uploaded and shared with groups, including Office documents, images and PDFs.
Although this capability is available, it does not mean that Yammer should be used as a primary method of document management. It does not, for example, allow features such as folders or security management.
It is recommended, instead, that SharePoint is used as the primary method of document storage, with links to documents placed in Yammer conversations. This will allow the same conversational and collaborative capabilities while still ensuring that the documents in focus are managed through your organisational information architecture, as well as being managed by the appropriate security policy. Additional points to note are:
- If documents are stored in Yammer, they will not appear in SharePoint search results
- Documents cannot be "read only" in Yammer. If a user has access to the group in which the document exists, they will have the ability to download or edit that file
- Documents in Yammer will not be bound by SharePoint-driven retention policies
In summary, consideration should be given before using Yammer as a method to store and collaborate on your day-to-day documentation. Instead, try to keep content stored in Yammer as static, and reference-based, or contextual to a conversation. Store your work in SharePoint.
